If you are interested in becoming a Fear Fete or Gamer Fete vendor, please read the below terms and conditions and fill out the vendor registration form. Once we receive your form, we will review it and contact you regarding approval and final payment.
Convention/Vendor Dates: October 13-15, 2017
Vendor Hours: 10:00am - 6:00pm
Vendor Setup: Friday, October 13, 2017
Vendor Breakdown: Sunday, October 15, 2017
Vendor booths are 10 ft. x 10 ft. and Artist tables are 8 ft. x 8 ft. All booths are backed by black pipe and drape.
Each booth space includes (1) one 8ft. skirted table. Additional tables and linens may be rented.
Each vendor booth space includes up to (2) two chairs. Artist tables include (1) one chair. Extra chairs may be rented.
Each Vendor will receive (2) two Vendor Passes per vendor booth. Artists will receive (1) one Vendor Pass. Extra Vendor Passes may be purchased. Vendor Passes grant vendors access into the convention hall only during set up and convention operating hours. Any Fear Fete attractions and special events will require the purchase of a ticket. Passes are for the use of individuals exhibiting at the show and may not be sold or used for other purposes.
Vendors may purchase the Preferred Vendor Package, which includes vendors logo and a short bio listing as a "Fear Fete Preferred Vendor" in the event program guide and on the vendors webpage. Preferred Vendors will also be promoted on all social media channels.
PREMIUM VENDOR SPACE
Premium space will include high traffic booth placement for either 10 ft. x 10 ft. or 10 ft. x 20 ft booth. This does not include corner booth space. Included are preferred vendor upgrade perks such as social media and E-blast inclusion with link to your personal site.
All additional equipment and furnishings are the responsibility of the vendor. You may provide your own furnishings or rent them.
Electrical services can be ordered through Fear Fete. Vendors are responsible for ordering this service, if needed.
Phone and Internet services can be ordered through Fear Fete. See attached order form. Vendors are responsible for ordering this service, if needed.
Fear Fete reserves the right to change booth locations at the promoters discretion.
Vendor understands the payment policy and agrees to pay as per the terms of the application.
Credit Card and Paypal payments will be charged a 3.75% processing fee.
Fear Fete does not reserve any booths until payment is made in full.
There will be a $50 fee on all cancellations. If the cancellation occurs within 60 days of the event date, there will be no refund.
Vendors must be sure that all noise levels from sound systems are kept to a minimum. Fear Fete reserves the right to determine at what point that noise level constitutes interference with others and must be discontinued.
No exhibit may block or interfere with other exhibits or with the aisle space.
Any damage caused to the building or its furnishings by the Vendor are the sole responsibility of the Vendor.
Vendor agrees to show up on time and remain set up during all exhibit hours. No early breakdown of exhibits are allowed without the prior consent of the show promoters. Failure to comply will result in a $75 fine and the Vendor will not be allowed back at future events.
Vendor agrees not to sell any adult material to minors, including the sale of weapons.
All adult materials must be approved by Fear Fete prior to the show and must be placed either behind the table or, if displayed on a table or display rack, bagged or covered so that minors may not open it.
Any adult material containing nudity must be covered with accordance of local and state laws.
Vendor agrees that all merchandise for sale is legal and licensed.
If a publisher finds their property being sold unlicensed by another Vendor and presses charges against said Vendor, the Vendor will be ejected from the convention with no refund of booth space.
Vendors shall not play, permit the playing of, performance of, or distribution of, any copyrighted material at the event unless they have obtained all necessary rights and paid all required royalties, fees or other payments.
TAXES & LICENSES
Vendor shall obtain any licenses, permits, identification numbers, or approvals under federal, state or local law applicable to its activities at the event at its sole expense.
Vendor is responsible for paying all taxes, license fees, use fees, charges, levies or penalties that become due to any government authority in connection with its activities at the event.
Vendors will pay a 7% Sales Tax of TOTAL Sales during event to Fear Fete at the end of the event, as per Mississippi State Law 2010 Mississippi Code § 27-65-17. Forms will be provided to Vendors by Fear Fete and MUST be completed in their entirety, and will be turned in with payment. If no payment is made at the end of the event, a $250 penalty will be incurred not including tax payment. No exceptions.
Fear Fete agrees to provide security during the event hours of operation.
Vendor is responsible for securing their belongings during and after show hours.
Fear Fete and MSCC are not responsible for any vendors property that is stolen or damaged.
LIABILITY & FORCE MAJEURE
Under no circumstances shall Fear Fete be liable for any lost profits or any incidental, special, indirect, punitive or consequential damages whatsoever for any of the acts or omissions whether or not apprised of the possibility of any such lost profits or damages. In no event shall Fear Fete’s maximum liability under any circumstances exceed the amount actually paid to Fear Fete by Vendor for exhibit space rental pursuant to this contract. Fear Fete makes no representations or warranties, express or implied, regarding the number of persons who will attend the Event or regarding any other matter.
The Vendor agrees to protect, keep and save Fear Fete, LLC, the promoter of the Event, forever harmless from any damage(s) or charge(s) imposed for violations of any ordinance or regulation by the Vendor, his employees or agents, as well as failure to comply with the terms and agreements of this contract. Further, Vendor shall at all times protect, indemnify, save, and keep harmless Fear Fete against and from any loss, cost damage, liability, or expense which arises out of or from or by reason of any act or omission of the Vendor, his employees, or agents.
Fear Fete makes no representations or warranties concerning location of Vendor’s space, number of attendees at the convention or who other Vendors may be.
The scheduling of the convention is subject to change from events beyond the control of Fear Fete.
Vendor agrees to indemnify and hold harmless Fear Fete for any injuries that occur within Vendor’s space or injuries that are caused by the actions of the Vendor or its agents. Vendors must comply with all state, local, and federal laws.
Food and Beverage: Concession food services are provided by the MSCC’s Food Service Partner as an exclusive service. Food and beverages, including alcohol, may not be brought into the MSCC without the prior written consent of the MSCC.
Parking Fees and Facilities: Vendor receive daily in/out privileges with a valid parking receipt and Vendor badge. Overnight parking on MSCC property is prohibited. Parking in the loading dock basin or dock ramps is prohibited.
Abandoned Property: Any property not removed from the MSCC that has not been claimed within twenty-four (24) hours following the end of the event will be considered abandoned by the Vendor. Fear Fete’s lost and found will be set up at the Information booth, located in the front of Hall B.
Freight Deliveries: Freight and C.O.D. deliveries including, but not limited to UPS, FedEx, RPS, GSP, etc., will not be accepted by the MSCC before, during or following Fear Fete. Shipments delivered to the MSCC, must be previously arranged and approved by MSCC.
Hazardous Work Areas: During move-in and move-out, exhibition halls, loading docks, truck staging areas and service corridors are considered hazardous work areas. Children under sixteen (16) years of age are prohibited.
Exhibits or Displays: Exhibits or displays, equipment, stock or supplies will not be allowed to enter or leave by way of the front entrances of the MSCC.Vendor warrants that no music or artistic work or other property protected by copyright will be performed, produced, exhibited or used, nor will the name of any entity protected by trademark be reproduced, exhibited or used during Vendor use of the Premises, unless Vendor has obtained expressed written permission and license from the copyright or trademark holder. Vendor covenants to comply strictly with all laws respecting copyright and trademarks and warrants that it will not infringe any related statutory, common law or other rights of any person during its use of the Premises. Vendor is responsible for remitting payment to appropriate agencies for use of copyrighted materials. Vendor will indemnify and hold Fear Fete and its officers, agents and employees harmless from all liability, costs and claims, losses and/or damages (including court costs and attorney’s fees) with respect to such copyright or trademark rights.
